Switching from Virtuagym or SportBit: your members and schedule over in an afternoon

The reason not to switch is rarely the system itself, but the move: hundreds of members, running memberships, a schedule full of class groups. Nobody wants to retype that by hand, and rightly so.

That is why REQUR reads the files of the two best-known packages directly. An export from Virtuagym or a filled-in SportBit template is enough to move your members, their memberships and your complete schedule. This article walks through the switch step by step, including the part we do for you.

In short

  • The member import reads Virtuagym exports and filled-in SportBit templates, including former members, credit balances and families.
  • You see a check first: which columns were recognised, which email addresses are duplicates and which IBAN fails.
  • Memberships are matched by name to your price list and arrive paused, ready for the go-live.
  • Your schedule and class groups come along too: every class schedule becomes a class type, every group is planned in with its coach.

Check first, import second

Under Import and Export everything sits in the order of a switch: first your price list, then your members, then payments and planning. The member import always starts with a check instead of a direct import.

That check shows which columns were recognised, which email addresses appear twice and which IBAN fails validation. You clean up the mess before a single member lands in your records, instead of correcting afterwards.

Virtuagym and SportBit read directly

Coming from Virtuagym, you read the member export in directly, including former members and the balances per credit type. The schedule comes along too: every class schedule becomes a class type in REQUR and every row a class on the calendar.

Coming from SportBit, REQUR reads the filled-in templates and the family files. Parents automatically become the contact person of their children, exactly what you want for youth members.

Class groups import by name, with a column for the coach, and they are planned in right away. The members who belong to a group are matched to it by name.

Memberships ready, but still off

Imported memberships are matched by name to the plans in your price list and arrive paused. That is deliberate: while you are setting up and checking, no direct debit should run yet.

At the go-live we switch everything on in one pass, together with you. So there is never a phase where half your members are being charged and the other half is not, and everyone starts in the new system on the same day.

And your direct debit mandates?

You do not need to collect new mandates from existing members: under Payments you create the mandates from your existing records and check the SEPA file before the first run goes out.

How that works legally and practically, from mandate references to the first collection after a switch, is covered in detail in our article about direct debit mandates when switching.

Why November is a good moment

Most clubs want a clean start on January the first: new system, new price list, the January rush landing in the right records from day one. Start importing in November and you have December for the finishing touches and a calm go-live in the holidays.

The 30-day trial is long enough for exactly that. You import your members in an afternoon, click around for a week with your own data and only then decide for good.

Frequently asked questions

No. You can import yourself, but you do not have to: migration and setup are part of the onboarding, and we always do the go-live together. You are over within two weeks.

Yes. The Virtuagym export contains the balances per credit type and they return as class credits in REQUR, so nobody loses their remaining classes.

Former members can simply join the import. Your history stays complete and you can reactivate a former member later without starting a new file.
